The equipment fleet was migrated into Business Central's fixed asset module for accurate operational and financial reporting from day one.
A Power BI architecture built on dataflows lets the team create and maintain its own reports as the business grows.
A private equity-backed supplier of heavy construction equipment serves job sites across the United States and Canada. Its business spans equipment sales, rentals, parts, service, and steel products, run from multiple locations. With a new CFO and COO in place, leadership wanted better data to guide decisions, especially around fleet utilization and asset performance. An aging Dynamics GP system and a web of spreadsheets could not provide it.
The company chose Volt Technologies to implement Microsoft Dynamics 365 Business Central across finance and operations. Volt delivered full financials, purchasing, sales, rentals, service, inventory, and one of the most detailed fixed asset setups it has built, connected to specialized add-ons for rental management, AP automation, payments, and sales tax. The result is a single system and a reporting foundation the team can grow into.
The company ran on Dynamics GP, and much of what mattered most lived outside it. Rental equipment was carried as inventory and backed out of balances by hand instead of being tracked as fixed assets, which made asset performance hard to see. One key steel product line was tracked on paper and in a set of spreadsheets first built three decades ago, sorted by size, condition, and configuration. Bin locations were keyed in manually, and staff had limited visibility into history and open orders. For new leadership focused on fleet utilization and asset performance, the data was not there to support confident decisions.
Volt designed and delivered more than 40 core business processes across finance and operations, then tested them in conference room pilot sessions covering more than 300 real-world scenarios. The rental fleet moved into Business Central as fixed assets through one of the most complex data migrations Volt has completed, with equipment, attachments, and tooling each given the right treatment. Volt integrated add-ons for rental and service management, AP automation, payment processing, and sales tax, and trained users on the rental and service workflows. The team also built a Power BI architecture on dataflows so the company can create and maintain its own reports, along with tools that help accounts receivable track collections.
Finance and operations now work from one system instead of GP, spreadsheets, and paper. The equipment fleet is tracked as fixed assets, giving leadership a clearer path to the utilization and asset performance insight it set out to get. Reporting no longer depends on outside help: the team can build and update its own Power BI reports as the business grows, and accounts receivable has better visibility into collections. After go-live, the company came back to Volt to explore advanced warehousing and estimated landed costs for tariffs, building on the foundation it now has.
